Event Planner
Here at ESIS we appreciate that organising an event or a conference can often be quite a daunting task. To assist the planning and coordination of the process please consider the following questions:
What is the total number of delegates attending (including trainers, people running exhibitions, staff etc)?
What is the total number of delegates to be seated in each of your rooms? What is the total number of people requiring catering? What time will you be starting and finishing? What are the timings for your breaks and lunch? What layout would you like in each of your rooms e.g. workshop style, cabaret style, theatre style, boardroom style, u-shaped? If you have booked Celyn 1 and Celyn 2, would you like the partition removed between the two rooms? Are any children attending? If yes, how many? Please note that children must be supervised at all times and are the responsibility of your event organiser Will the children require different catering to the adults (we are happy to provide options for children's meals when given advance notice)? Will anyone be arriving by coach or mini bus? Please provide the names of the workshops and their location for the door signs around the building Have you arranged for any display stands or exhibitions? If yes, what are their names and where would you like them located? Will they require access to power, table cloths, display boards etc? Please confirm your choice of buffet and any special requests Will you require a top table? If yes, for how many people? Please indicate any guests that have special dietary requirements | Are you expecting a translator? If yes, what do they require and where will they be seated?
Who do we invoice for your event, please indicate their name, address and telephone number? Will you require a member of our staff to hand out packs to your delegates? Will you require a voice recording of your event? Do you require microphones (please note these are only available in certain rooms)? Will you require an interactive whiteboard (please note these are only available in certain rooms)? Would you like any powerpoint presentations loaded onto a laptop in the room ready for your event? Will you require the use of any specialist software? Will you be providing any software to be loaded onto the computers? Will you require a lectern? Are you expecting any VIPs? Are you expecting any disabled attendees? And will they require a Personal Evacuation Plan (PEP) in the event of a fire? Are you expecting any 'messy' workshops e.g. using paint, clay, glitter etc? Would you like us to provide greeters to sign in your delegates or will you be providing you own? Is there any other information that is relevant to your event? |
